Waiting room management

The pandemic has brought about several new procedures, particularly in relation to the management of the waiting room. offers you a new option to better coordinate the arrival of clients for their appointments.

The Check-In field allows you choose from several statuses from the Registration menu in the appointment box.

This can help you keep track of your appointments, and make sure your staff and customers have enough time between arrival/departure to clean a work area.


New Option for the Waiting List

Waiting list management allows clients waiting for appointments to be notified of cancellations in real time through an automated notification system.

Some people want the time slots released following a cancellation to be reserved only for customers on hold.

Others prefer to simply notify waiting customers but make the time slot available to everyone after a certain delay. In other words, customers can pick up an open slot on a first-come, first-served basis.

If you are interested in the latter approach, follow the steps below to set up your account.

Navigate to Settings and click on the Advanced tab.

Scroll down to the Waiting List section. Check the desired options.


When a time slot becomes available, pending customers receive an email invitation each in turn with a 30-minute delay between each sent message. During this period, the time slot can only be selected by a customer who has received the invitation.

The first option in the red box releases the time slot every 2 hours after sending the last invitation. At that point, anyone could select the time slot and not just a customer on the waiting list.

The 2nd option keeps the link that the waiting customer receives in the invitation active even after the time slot has been released publicly.


Display a link to your website https

Your portal is the gateway to online appointment booking and displays your logo, colors, services and contact details. Until now, when you add a link to your website, the https protocol was automatically inserted in front of the “www” of your website’s URL. With the popularity of the https protocol, we now offer the choice between the prefix http or https.

If you would like to choose which prefix to use, go to Settings and select View Locations. Next, click the Edit button next to the location you want to update.  Finally, click on the drop down menu next to the Website field and select the protocol you would like to use. Don’t forget to save your changes by scrolling down to the bottom of the page and clicking Save.


Receipt improvements

On May 25, 2018, the General Data Protection Regulation (GDPR) entered into force. GDPR aims to better protect the privacy and personal information of European residents and imposes certain practices on companies collecting and processing personal information, including but not limited to a first or last name, email address, telephone number or date of birth.

In order to ensure compliance and better protect you, we’ve reviewed the different features we offer. As a result, we have decided to abandon our MailChimp integration for users located in the European Economic Zone (EEA), including the United Kingdom and Switzerland. We are committed to reviewing the feasibility of bringing this integration into compliance and hope that this functionality will be restored in the coming months.

In the meantime, you can continue to use MailChimp, but your customers will no longer be able to accept or manage their newsletter preferences through MailChimp has launched a series of initiatives to help you become GDPR compliant, and we invite you to review their communications on this topic.

In addition, one of the requirements of the GDPR is that users have the right to access, update and delete their personal information. If you have customers in the EEE, make sure that the customer accounts are active as well as the ability for users to delete their user profile online (see image below).
